(Front) Office Manager & HR Assistant

Job description

For our Dutch team (70+ people), located in Amsterdam Zuid-Oost (walking distance of Bijlmer station), we are looking for a committed and pro-active Office Manager.  An excellent organizer and team player with relevant experience. A professional who anticipates, cooperates, structures – without losing the details – and is able to take responsibility and initiative. This multifaceted role is not a standard job with tightly defined tasks, there are constant new responsibilities and activities. Are you up for the challenge?


Your Role
As Office Manager you will be responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. Furthermore you will support the HR Manager with HR related processes. You will be responsible for all office management tasks, and various internal projects, which reflects the following:

Management Support
  • Supporting the Practice Management Team (e.g. set up meetings, taking minutes, coordinating agenda’s, etc.);
  • Organizing meetings with clients and for our international board;
  • Editing reports for senior management;
  • Assisting with commercial proposals and presentations;
  • Managing the recruitment-, onboarding and off boarding process;
  • Managing the resource management process;
  • Management of client information in CRM system.
Hospitality Support
  • Welcoming visitors and answering the phone;
  • Responsible for incoming and outgoing mail, incoming calls and handling the post;
  • Managing of coffee/tea, lunch for guests or meetings with clients;
  • Acting as hostess for relation- and event management;
  • Organizing formal and informal meetings i.e. our annual New Year’s Party, CCDNA, social events (in cooperation with the consultants).
Facility Services
  • Managing suppliers and housekeeping, checking inventory office and kitchen supplies;
  • Purchasing (catering, furniture, travel bookings, office IT trouble shooting, laptop pool and mobile phones, etc.);
  • Identify problems or constraints and a proactive effort to solve these;
  • Responsible for appearance of the office and arranging for necessary repairs and make the office feels like home for our consultants;

Requirements

  • MBO+/HBO capacities and work level with organizational and administrative excellence;
  • Accurate and able to set priorities;
  • High level of integrity and discretion;
  • Team player with excellent communicative skills;
  • Flexible attitude and a high degree of independence;
  • Client and business oriented;
  • Able to work in a fast-paced environment;
  • Excellent communication skills in Dutch and English, spoken and written;
  • Good knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
